This Privacy Policy explains how Atominic Technologies ("Podium", "we", "us", "our") collects, uses, shares, stores, and protects personal data when you use the Podium platform and services (the "Service"). We are committed to handling personal data in accordance with the Digital Personal Data Protection Act, 2023 and applicable Indian law.
By using the Service you acknowledge this Policy. Where the law requires consent, we will obtain it as described below.
(a) As a service provider to Organisers ("Data Processor"). When an institute or organisation ("Organiser") runs a Competition, the Organiser decides what Participant data to collect and why. For that Participant data, the Organiser is the entity responsible (the Data Fiduciary) and Podium merely processes it on the Organiser's instructions to provide the Service. If you are a Participant, the Organiser who invited you is primarily responsible for your data, and you should also refer to that Organiser's own privacy terms. We process such data only to deliver the Service and as the Organiser directs.
(b) As the entity responsible for our own data ("Data Fiduciary"). When we collect data directly — for example, when an Organiser signs up, pays, or contacts support, or through our website analytics — we are the Data Fiduciary and this Policy governs that processing.
From Organisers (account holders): name, email, phone, organisation name and details, billing information (processed by our payment partners), login credentials, and communications with us.
From or about Participants (on an Organiser's instruction): name, email, phone, and any optional fields the Organiser configures (such as city, age/grade, parent/guardian name), plus Competition activity such as registration details, responses, scores, timing, rankings, and limited technical/monitoring signals collected during a live event (e.g. tab-switching logs, device/browser information) for fairness and integrity.
Automatically, when anyone uses the Service: IP address, device and browser information, log data, usage data, and cookies or similar technologies (see Section 9).
We do not intentionally collect special-category sensitive information beyond what is described, and ask that you do not submit unnecessary sensitive data.
We process personal data to: create and manage accounts; provide, operate, and maintain the Service; enable Organisers to run Competitions and Participants to take part; deliver results, certificates, and badges; process payments; communicate service messages, confirmations, reminders, and results notifications; provide support; ensure security, prevent fraud and abuse, and maintain Competition integrity; comply with legal obligations; and improve the Service.
Where we rely on consent, you may withdraw it at any time (Section 7); withdrawal does not affect processing already carried out, and may mean we can no longer provide part of the Service.
We process personal data on the basis of: your consent; the necessity to perform our agreement with you and provide the Service; our compliance with legal obligations; and other legitimate uses permitted under the DPDP Act. For Participant data processed on behalf of an Organiser, the lawful basis and consent are the Organiser's responsibility, and the Organiser confirms to us that it has obtained them.
6.1 The Service is often used to run Competitions involving minors. We treat children's data with heightened care as required by the DPDP Act.
6.2 We do not knowingly collect personal data directly from a child except where an Organiser provides it to us to run a Competition. In that case, the Organiser is responsible for obtaining verifiable consent from the child's parent or legal guardian before the child's data is provided to or processed through the Service.
6.3 We do not use children's data for tracking, behavioural monitoring, or targeted advertising, and we do not undertake processing likely to cause detrimental effect to a child.
6.4 A parent or legal guardian may contact us (Section 12) to access, correct, or request deletion of their child's data; we will act on such requests in coordination with the relevant Organiser and as the law requires.
Subject to the DPDP Act and applicable law, you have the right to: (a) access a summary of the personal data we hold about you and how it is processed; (b) seek correction, completion, or updating of inaccurate or incomplete data; (c) seek erasure of your data where no longer necessary or where consent is withdrawn; (d) withdraw consent where processing is based on consent; (e) nominate another person to exercise your rights in the event of death or incapacity; and (f) grievance redressal.
To exercise these rights, contact our Grievance Officer (Section 12). If your data was provided by an Organiser (you are a Participant), we will direct your request to that Organiser, who is primarily responsible, and assist as their processor. We may need to verify your identity before acting.

Where vendors are engaged, we require appropriate security and confidentiality commitments consistent with the DPDP Act.
We use cookies and similar technologies for authentication, security, preferences, and to understand and improve usage. You can control cookies through your browser settings; disabling some cookies may affect functionality. Where required, we will seek consent for non-essential cookies.
We retain personal data only as long as necessary for the purposes described, to provide the Service, to comply with legal, accounting, or reporting obligations, and to resolve disputes and enforce agreements. Competition and result data are retained for the period configured by the Organiser or as required by law, after which we delete or anonymise it. Result-access links and related data expire after the configured period. An Organiser may request deletion of Participant data it controls.
11.1 We implement reasonable technical and organisational security measures appropriate to the risk, including access controls, encryption of sensitive items where appropriate, and segregation of tenant data. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11.2 In the event of a personal data breach, we will take steps to mitigate it and will notify the Data Protection Board of India and affected individuals as and where required by the DPDP Act and the rules made under it.
11.3 You are responsible for safeguarding your own credentials and access codes (see Terms of Service).

We will acknowledge and respond within the timelines required by applicable law. If you are not satisfied, you may have the right to lodge a complaint with the Data Protection Board of India.
The Service is operated from India and data is processed and stored in India and/or with reputable providers as permitted by law. If you access the Service from outside India, you understand your data will be processed in accordance with Indian law. We comply with any restrictions the Government of India notifies on cross-border data transfer.
We may update this Policy from time to time. We will post the updated Policy with a new effective date and, where required, provide notice. Continued use after changes constitutes acceptance of the updated Policy.
